Enterprise spa and wellness center management
Log in to Zenoti with Admin Access
Navigate to app.zenoti.com in your browser. Sign in with your admin credentials. Zenoti requires an "Admin" or "Manager" role to access Reports — a front desk or service provider login will not have reporting access. After logging in, you will see the Zenoti dashboard with appointment and revenue metrics.
Note:
Standard staff logins do not have Reports access. You need a role with "Reports" permission enabled. If you cannot see Reports in the navigation, ask your Zenoti account admin to grant you reporting access under Settings → Roles & Permissions.
Select Your Center (Multi-Location Accounts)
If your practice has multiple Zenoti locations, the top navigation will show a center/location selector. Before going to Reports, click the center name in the top bar and select "All Centers" to pull a combined report, or select a specific center if you want one location at a time. Single-location accounts can skip this step.
Tip:
For multi-location practices, we recommend selecting "All Centers" to get one combined file — it's easier than merging multiple location exports.
Click "Reports" in the Top Navigation
Click "Reports" in the top navigation bar. The Reports hub will open showing categories of reports on the left side. Zenoti's report library is extensive — you are looking for the "Guest" reports section (Zenoti uses "Guest" terminology instead of "Client" or "Patient").
Open "Guest Reports" → "Guest Master"
In the Reports left sidebar, click "Guest Reports". A list of guest-related reports will appear. Select "Guest Master" — this is the comprehensive report that contains all contact information, visit history, and status.
Configure Report Filters
The Guest Master report opens with filter options. Configure as follows: Center = "All Centers" (or your specific location), Status = "All" (to include both active and inactive guests), Date Range = leave blank for all-time. Click "Apply" or "Run" to generate the report.
Note:
If you have multiple locations and select only one center, guests from other locations will be excluded. Use "All Centers" for a complete export.
Export to Excel or CSV
After the report loads, look for the "Export" button in the top-right of the results table. Click it and choose "Export to Excel" (.xlsx) or "Export to CSV". For large guest lists (10,000+), the export may take a minute to generate. The file will download to your Downloads folder.
Tip:
Zenoti can schedule recurring reports — after your first successful export, click "Schedule Report" to get a monthly automatic export emailed to you.
Which MedMasters data fields are available in this EHR export.
Zenoti uses "Guest" terminology throughout — Guest Master = Client List, Guest Status = Client Status
Multi-location accounts must select "All Centers" in the report filter or run a separate export per location
Reporting access is role-based — standard staff cannot export data
Set up a Scheduled Report in Zenoti to automatically email you the Guest Master monthly — saves time on future exports
For multi-location practices, "All Centers" in the filter pulls one combined export — easier than merging multiple files
Sync type: one way out
Enable Calendar Sharing in Zenoti
Open the Zenoti mobile app (MyZen). Tap "Employee Preferences." Switch on the "Share your calendar" toggle.
Save Your Preferences
Tap "Update" to save the setting. Your personal Zenoti calendar URL is now active.
Open Google Calendar
On your computer, open Google Calendar. In the left sidebar under "Other Calendars," click the + icon.
Add Calendar From URL
Select "From URL." Paste the Zenoti calendar URL you copied in step 1. Click "Add Calendar."
Wait for Initial Sync
Allow approximately 30 minutes for your Zenoti appointments to appear in Google Calendar. Once synced, future appointments will update automatically.
• One-way sync only: Zenoti appointments → Google Calendar. Events added in Google Calendar will not appear in Zenoti.
• Initial sync takes approximately 30 minutes after setup.
• Appointments edited in Zenoti will be updated in Google Calendar on the next sync.
• The calendar URL is unique per employee — each staff member must set up their own sync.
