Open SoftDent on Your Desktop

SoftDent is a Windows desktop application. Double-click the SoftDent icon on your desktop or find it in your Start Menu under Carestream Dental → SoftDent. Log in with your admin username and password at the login prompt.

Tip:

You need a user account with "Supervisor" or full admin access to run patient list exports.

Open the Reports Menu

In the SoftDent top menu bar, click "Reports". A dropdown menu will appear with various report categories.

Navigate to Patient Reports

From the Reports dropdown, hover over or click "Patient Reports". A sub-menu will appear. Select "Patient List" or "Patient Roster" to open the patient report configuration window.

Configure the Report Parameters

A report options dialog box will appear. Set Patient Status to "All" to include both active and inactive patients. Leave other filters at their defaults, or set a date range to capture all time. Click "OK" or "Preview" to generate the report.

Tip:

If you leave Patient Status as "Active Only", you will miss inactive patients who are prime reactivation targets.

Export the Report

Once the report previews on screen, look for an "Export" button in the toolbar or go to File → Export. In the export dialog, choose "Delimited Text File (CSV)" as the format. Choose a save location on your desktop and click "Export".

Note:

SoftDent may default to a proprietary format — always confirm "Delimited Text" or "CSV" is selected before exporting.

Verify the File

Open the exported file in Excel or Notepad to confirm the data looks correct. You should see columns for patient name, phone, email, last visit date, and status. If the file opens as a single column, it may be tab-delimited — use Excel's "Text to Columns" feature under the Data tab to split it.

Tip:

SoftDent exports sometimes use pipe "|" or tab delimiters instead of commas. Open in Excel and use Data → Text to Columns if needed.

Send to MedMasters

Upload the exported file using the secure MedMasters upload link provided by your account manager.

Note:

Do not email patient data files. Use only the secure MedMasters upload portal.
