Open Shortcuts Software
Shortcuts Software is available as both a desktop application and a cloud-based version. Open the Shortcuts application on your computer or log in via browser. Enter your manager or owner credentials.
Tip:
You need Manager or Owner access to use the Marketing export features in Shortcuts. Standard staff logins do not have access to the client export function.
Navigate to Tools → Marketing
In the top navigation bar, click "Tools". From the dropdown that appears, click "Marketing". The Marketing tools panel will open.
Select Which Client Data Fields to Include
In the Marketing panel, you will see a list of available client data fields. Check the fields you want to include in the export: First Name, Last Name, Mobile Phone, Email, Last Visit Date, Client Status. Uncheck any fields you do not need (e.g., address fields, if they're not required). This step determines what columns appear in your exported file.
Tip:
If you want to export all clients including inactive ones, make sure the Status filter is set to include all statuses — not just "Active". Look for a status filter in the Marketing panel and set it to "All Clients".
Click Compute
Once you have selected your fields, click the "Compute" button to generate the client list based on your selected criteria. Shortcuts will process the data.
Click Done and Save the TXT File
After Compute finishes, click "Done". Shortcuts will prompt you to save the exported file. The default format is TXT (text file) — save it to your desktop with a descriptive name like "clients_export.txt".
Note:
Shortcuts exports as a TXT file by default, NOT a native CSV. You must convert it to Excel or CSV before sending to MedMasters (see next step).
Convert the TXT File to Excel/CSV
Open Excel on your computer. Go to File → Open and browse to the TXT file you just saved. Excel will launch the Text Import Wizard. In Step 1, select "Delimited" and click Next. In Step 2, check both "Comma" and "Space" as delimiters (uncheck "Tab") and click Next, then Finish. The data will load into Excel columns. Go to File → Save As and save the file as "Excel Workbook (.xlsx)" or "CSV (Comma delimited)".
Tip:
After the Text Import Wizard converts the file, review the columns to make sure the data looks correct before saving. Sometimes comma/space delimiters can split values unexpectedly — verify names and phone numbers look right.
Send to MedMasters
Upload the converted Excel or CSV file using the secure MedMasters upload link provided by your account manager.
Note:
Do not email client data. Always use the secure MedMasters upload portal.

After converting the TXT to Excel, always verify the data looks correct before sending — name fields can sometimes merge if the delimiter conversion is inconsistent
