Open Platinum System on Your Computer
Platinum System is a Windows desktop application. Find and double-click the Platinum System icon on your desktop or open it from the Start Menu. Log in with your administrator username and password.
Tip:
You need system administrator access to run the patient data export. Regular user accounts may not have access to the Reports or Utilities menus.
Open the Reports Menu
Click "Reports" in the top menu bar. A large dropdown menu will appear with multiple categories including Patient Reports, Financial Reports, and Management Reports.
Select Patient Listing Report
From the Reports menu, navigate to "Patient Reports" and then select "Patient Listing" or "Patient Roster". A report configuration dialog will open.
Configure Report Settings
In the report dialog, set the following: Status = "All" (or check both Active and Inactive checkboxes); Date Range = Leave blank for all records; Sort Order = Last Name (for easier review). Click "Generate" or "OK" to run the report.
Note:
If you cannot select "All" for status, run the report twice — once for Active and once for Inactive — and combine the two CSV files.
Export to a File
Once the report generates on screen, go to File → Export in the report preview window, or look for an "Export" button in the toolbar. In the export dialog, choose "ASCII/Text Delimited" or "CSV" as the format. Select a comma as the delimiter if prompted. Name the file and save it to your Desktop.
Note:
Platinum System may default to a proprietary or fixed-width format. Select "Delimited" or "CSV" explicitly.
Verify the Export File
Open the CSV in Excel to verify the data looks correct. You should see columns for patient name, phone, email, last visit, and status. If it looks like one long column of text, use Data → Text to Columns in Excel with "Comma" as the delimiter.
Tip:
Platinum System is one of the older EHR systems — if the export format is unusual, contact your account manager and they can assist with parsing the file.
Send to MedMasters
Upload the file using the secure MedMasters upload link provided by your account manager. If you had to run two separate reports (Active + Inactive), upload both files.
Note:
Do not email patient data. Always use the secure MedMasters upload portal.

Platinum System is a legacy desktop application — the export process is less intuitive than modern cloud platforms
The export format may be fixed-width or pipe-delimited rather than standard CSV — verify in Excel before sending
Active and Inactive patients may require separate report runs depending on the version
If you are unsure about the export format, call Platinum System support — they can walk you through the specific steps for your version
Many Platinum System practices are migrating to newer cloud EHRs — if you are planning a migration, export all patient data before switching
Phone numbers are often stored across multiple fields — MedMasters will use cell phone when available, then home phone as a fallback
