Log In to Office Ally
Open your browser and navigate to officeally.com. Click "Login" and enter your Office Ally account credentials. Office Ally has two separate modules: the billing platform (Office Ally) and the EHR (Practice Mate or EHR 24/7). For patient data export, you will use Practice Mate or EHR 24/7.
Tip:
Office Ally and Practice Mate are two separate platforms from the same company. If you use Practice Mate (their free EHR), you need to log into Practice Mate specifically — not just the billing portal.
Access Practice Mate (EHR)
Once logged in to Office Ally, look for Practice Mate or EHR 24/7 in your account menu or dashboard. Click to launch it. Practice Mate opens in a separate window or tab — it is a standalone EHR interface.
Tip:
If Practice Mate is not installed or activated on your account, contact Office Ally support at (360) 975-7000 to get it enabled. It is free with your Office Ally account.
Navigate to the Patient Center
In Practice Mate, look for a "Patient Center" or "Patients" section in the navigation. Click it to open the patient management area where you can search, view, and export patient records.
Select Patients for Export
In the Patient Center, use the search or filter options to select all patients. Set Status to "All" to include both active and inactive patients. Use Ctrl+A or a "Select All" checkbox to select all matching patient records.
Tip:
Office Ally's export is limited to 5,000 rows per CSV file. If your practice has more than 5,000 patients, you will need to export in multiple batches (e.g., by last name A-M and N-Z, or by date range). Send all files to MedMasters.
Export to CSV or Excel
With patients selected, look for an "Export" button or menu option in the Patient Center. Click it and choose "CSV" or "Excel" as the format. The file(s) will download to your computer.
Note:
Office Ally CSV files have a maximum of 5,000 rows per file. If your patient list exceeds 5,000, split the export into batches (e.g., by date range or alphabetically). Upload all batch files to MedMasters.
Send to MedMasters
Upload the exported file(s) using the secure MedMasters upload link provided by your account manager. If you exported in multiple batches, upload all files — MedMasters will merge and deduplicate them.
Note:
Do not email patient data. Always use the secure MedMasters upload portal.

Office Ally has a strict 5,000 row maximum per CSV export file — practices with large patient lists must export in batches
Practice Mate (the EHR) and Office Ally (the billing portal) are separate interfaces from the same company — make sure you are in Practice Mate for the patient export
Removed header rows or special characters in the CSV will cause import errors — verify the file format before sending
For large practices (5,000+ patients), export in alphabetical batches (A-M, N-Z) or by date range to stay under the 5,000 row limit
Office Ally's Practice Mate is free — many small chiropractic practices use it primarily as a billing clearinghouse alongside a separate scheduling system
