Understand ModMed's Export Process
ModMed (Modernizing Medicine) handles data exports differently from most EHRs. For a full bulk patient export, you need to submit a support request to the ModMed team — there is no self-service bulk export button in the standard interface. Individual patient records can be exported directly from the patient chart, but a practice-wide patient list export requires contacting ModMed support.
Tip:
Plan ahead — ModMed support typically responds to data export requests within 1-3 business days. If you need the data urgently, call ModMed support directly rather than submitting a ticket.
Contact ModMed Support to Request a Patient List Export
Send an email to support@modmed.com with the subject line: "Patient List Data Export Request — [Your Practice Name]". In the email, state that you are requesting a bulk patient demographic export (CSV format) containing first name, last name, phone, email, last visit date, and patient status. Include your practice name, your contact name, and your ModMed account number.
Tip:
You can also call ModMed support directly for faster response. Your practice's ModMed account manager can also initiate this request on your behalf.
Single Patient Export (Alternative for Small Lists)
If you need data for a specific subset of patients rather than a full export, you can export individual patient records from the EMA (Electronic Medical Assistant) user interface. Navigate to the patient's chart, open the patient record, and look for an export or download option within the patient file. This is practical for small lists but not efficient for hundreds of patients.
Tip:
For practices with fewer than 100 patients or for specific patient subsets, the per-patient export may be faster than waiting for support to process a bulk export.
Receive and Extract the Export File from ModMed
ModMed will send you a secure download link or upload the export file to your designated secure transfer location. The export is delivered as a compressed ZIP archive containing multiple pipe-delimited TXT/CSV files — one file per data table (e.g., patient demographics, appointments, visit records, insurance policies).
Note:
ModMed exports use pipe "|" as the delimiter, not a standard comma. When opening the files in Excel, you will need to use the Text Import Wizard and select "Other" as the delimiter, entering "|" as the delimiter character.
Convert the Patient File to CSV
Once you have opened the patient demographics file in Excel using the pipe delimiter (see previous step), verify the columns look correct. Then go to File → Save As and choose "CSV (Comma delimited)" as the file type. Save it to your desktop as a standard CSV for upload to MedMasters.
Tip:
The patient demographics file in a ModMed export typically contains: PatientFirst, PatientLast, CellPhone, HomePhone, Email, Status, LastVisitDate. Confirm these columns are present before saving.
Send to MedMasters
Upload the converted CSV file using the secure MedMasters upload link provided by your account manager. Let your account manager know this is a ModMed export so they can apply the correct field mapping.
Note:
Do not email patient data. Always use the secure MedMasters upload portal.
