Log in with Manager or Owner Credentials
Go to mindbodyonline.com and click "Log In" in the top-right corner. Sign in with a Manager or Owner account — standard staff accounts do not have access to client exports. After logging in, you will see the Mindbody business dashboard.
Note:
You must have Manager or Owner role to export client data. Staff member accounts will not see the Export option. Ask your practice owner to log in or to upgrade your role.
Tip:
Mindbody also has a mobile app, but exports are only available in the web dashboard at mindbodyonline.com — not in the app.
Click "Reports" in the Top Navigation
In the top navigation bar, click "Reports". This opens the Reports hub with a left-hand menu listing report categories.
Select "Clients" from the Left-Hand Menu
In the Reports left-hand menu, click "Clients". Then look for the "Marketing" filter at the top of the report list and click it. This filters the available reports to client marketing and communication reports.
Open the "Mailing Lists" Report
From the filtered client reports, click "Mailing Lists". This report allows you to export a list of clients with their contact information and opt-in status.
Configure the Report Filters
Set the dropdown filters to capture your full client list: In the first dropdown row, set it to "Email List". Choose which clients to include (all clients recommended). Set opt-in status to include all contacts. Configure any other preferences and click to generate the report.
Tip:
Selecting "All clients" regardless of opt-in status gives MedMasters the most complete picture for campaign segmentation.
Click "Export to Excel"
Once the report generates, look for the "Export to Excel" icon in the report toolbar. Click it. The Excel file will download to your browser's Downloads folder.
Note:
Large client lists (10,000+) may take several minutes to generate. Do not close the browser window while the export is processing.
Verify Phone Columns in the Export
Open the downloaded Excel file. Mindbody exports multiple phone columns. Include all phone columns in the file you send to MedMasters — do not delete any columns before uploading.

Do not email the file directly. Use only the secure MedMasters upload link.

Sync type: one way out
Log In as a Staff Member
Log in to Mindbody with your staff or admin credentials via the web or the Mindbody Business app.
Access Your Staff Profile
Navigate to your staff profile settings. In the Business app, tap your name or avatar to reach your personal settings.
Open Calendar or Schedule Settings
In your profile settings, look for a "Calendar," "Schedule," or "Integrations" section.
Enable Google Calendar Sync
Toggle on the Google Calendar sync option. You will be prompted to sign in to your Google account and grant Mindbody access.
Verify the Connection
Once connected, your upcoming Mindbody schedule will appear in your Google Calendar. Allow a few minutes for the initial sync to complete.
• Sync is one-way: Mindbody schedules push to Google Calendar. Events added in Google Calendar do not appear in Mindbody.
• This feature is designed for staff to view their Mindbody schedule on personal devices via Google Calendar.
• HIPAA note: Mindbody limits the client/patient details visible in Google Calendar to protect PHI.
• Each staff member must individually set up their own Google Calendar sync.
