Dental imaging and orthodontic practice management
Open Dolphin Management (NOT Dolphin Imaging)
Dolphin has two separate applications: Dolphin Imaging (for dental/ortho X-rays and photos) and Dolphin Management (for patient data and practice management). For this export, you need Dolphin Management. Look for the "Dolphin Management" icon on your Windows desktop — it is separate from Dolphin Imaging.
Note:
Do NOT open Dolphin Imaging for this export — it handles photos and X-rays, not patient data exports. Look specifically for "Dolphin Management" on your desktop or Start Menu.
Tip:
Dolphin Management may also be accessible from within Dolphin Imaging via a "Go to Management" button or menu item.
Navigate to Reports
In Dolphin Management, click "Reports" in the top menu bar. A dropdown shows the available report categories including Patient, Financial, Insurance, and Scheduling reports.
Select "Patient Summary" or "Patient Report"
In the Reports dropdown, look for "Patient Summary", "Patient Report", or "Patient List". Click it. The Patient Summary is the most complete patient data report in Dolphin Management.
Configure Filters — All Patient Types
The Patient Summary report opens with filter options. Set Patient Type/Status to "All" to include active, inactive, and completed treatment patients. Set Date Range = "All Time". Make sure all contact fields are included in the output columns.
Tip:
Dolphin is primarily used for orthodontics — patient records include treatment phase information (e.g., "In Braces", "Retainer"). You can ignore those columns — MedMasters only needs the contact and visit fields.
Export to CSV or Excel
After the report generates, click the "Export" button in the report toolbar. Choose "Export to Excel (.xlsx)" or "Export to CSV (.csv)". Save the file. Open in Excel and verify that phone, email, and last appointment date columns are populated.
Tip:
The export will include orthodontic-specific columns like Treatment Phase and Contract Start — these are fine to leave in the file. MedMasters will only use the contact and visit columns.
Send to MedMasters
Upload the file using the secure MedMasters link. In your message note: "Dolphin Management export — includes orthodontic columns that can be ignored."
