Open Dentrix on an Office Computer

Dentrix is a Windows-only installed application — you must be physically at an office computer or connected via Remote Desktop. Look for the Dentrix icon on the Windows desktop or in the Start Menu under "Dentrix". Double-click to launch. Log in with your admin or office manager credentials when prompted.

Note:

Dentrix is NOT web-based. There is no browser version. You must be on a computer with Dentrix installed, or use Remote Desktop. If working remotely, contact your IT team to set up Remote Desktop access before proceeding.

Tip:

Dentrix G7 and G8 have slightly different navigation than older versions, but the core path (Office Manager → Reports → Lists → Patient Report) is the same across all modern versions.

Open the Office Manager Module

From the main Dentrix Hub (the home screen showing all modules), click "Office Manager". It appears as a button or icon in the module bar along the top or left side of the screen. The Office Manager window will open — it is a separate window with its own menu bar.

Go to Reports in the Office Manager Menu Bar

Inside the Office Manager window, look at the top menu bar of that window (not the main Dentrix menu). Click "Reports". A dropdown menu appears showing report categories: Lists, Reference, Billing Statements, Letters, and Labels.

Click Lists → Patient Report (by Name)

In the Reports dropdown, hover over "Lists". A submenu will appear with patient report options. Click "Patient Report (by Name)" — this is the most commonly used patient data export in Dentrix. It may also appear as "Patient/Guarantor Report".

Configure the Patient Report Dialog

The Patient Report dialog box opens. This is where you configure what data to include. Work through each section carefully.

  • Patient Range: Select "All Patients" (first option)
  • Patient Status: Select "All Patients" to include active and inactive in one file
  • Click the "Data Fields" or "Select Fields" button on the right side of the dialog
  • In the field selector, check: First Name, Last Name, Home Phone, Work Phone, Cell Phone, Email Address, Last Visit, Status, Primary Insurance, Chart Number
  • Click OK to close the field selector
  • Provider: Leave as All
  • Date Range: Leave blank for all records

Tip:

Include "Chart Number" as a unique patient identifier — it helps MedMasters link records if names are similar.

Generate the Report

Click "OK" in the dialog box. Dentrix will begin generating the report. A print preview or report viewer window will open showing patient data in rows. Wait for the report to finish loading (this may take 30–90 seconds for large practices).

Tip:

If the report appears blank or shows 0 patients, go back and check that "Patient Status" was set to "All Patients" not a specific status that might have excluded your patients.

Export the Report to CSV

Once the report preview loads, look at the toolbar at the top of the report viewer window. Find the export icon (often looks like a floppy disk or paper with arrow) or go to File → Export in the report viewer menu. Select "Delimited Text" or "Comma Separated (CSV)" format. Choose a save location (Desktop is easiest). Click Export.

Note:

If you do not see a CSV export option in the report viewer, look for "Export Data" under Office Manager → Reports → Export Data at the top. This is an alternative export path that some Dentrix versions use.

Tip:

If you cannot find the export option, try right-clicking the report data area — some Dentrix versions show an export option in the right-click context menu.
