Log In to Denticon

Open your browser and navigate to denticon.com. Enter your username and password and click "Log In". Denticon is a cloud-based platform — no installation is required. You must have Administrator or Office Manager access to run data downloads.

Tip:

If your practice uses single sign-on (SSO) through Planet DDS, use your SSO credentials. Contact your system administrator if you are unsure of your access level.

Navigate to Utilities → Denticon Download

In the top navigation bar, click "Utilities". From the dropdown menu that appears, click "Denticon Download". This opens the data download management screen.

Schedule the Download

On the Denticon Download screen, click the "Schedule Download" button. Denticon queues your data export to run automatically after 12:00 AM (midnight) that night. This is a system limitation — the download cannot be generated in real time during business hours. You will need to return to this screen the following morning to retrieve your file.

Note:

Denticon data downloads are queued overnight. You will NOT be able to download the file on the same day you schedule it. Plan accordingly — schedule the download at the end of the business day and retrieve it the next morning.

Tip:

Note: Images stored in Patient Notes are NOT included in the download — only structured patient data (demographics, appointments, billing records) is exported.

Return the Next Morning and Click Download

The following business day, log back in to Denticon and navigate to Utilities → Denticon Download again. Your scheduled download should now show a status of "Ready" or "Complete". Click the "Download" button next to your scheduled export to download the compressed ZIP file to your computer.

Note:

If the status does not show "Ready" or "Complete", the export may still be processing. Wait until the following morning if the download was scheduled late in the day.

Extract the ZIP File

The downloaded file is a compressed ZIP archive. Locate it in your Downloads folder, right-click on it, and select "Extract All" (Windows) or double-click to open (Mac). Extract the contents to a folder on your desktop. Inside the ZIP you will find multiple TXT data files — one file per data table (patients, appointments, billing, etc.).

Tip:

The file you need for MedMasters is the patient demographics file, typically named something like "Patient.txt" or "Demographics.txt". Open each TXT file briefly to identify the one containing first name, last name, phone, and email columns.

Convert the Patient TXT File to CSV in Excel

Open Excel. Go to File → Open and browse to the patient TXT file you extracted. Excel will launch the Text Import Wizard. In Step 1, select "Delimited" and click Next. In Step 2, check "Comma" as the delimiter (uncheck Tab) and click Next. In Step 3, click Finish. The data will appear in columns. Go to File → Save As, choose "CSV (Comma delimited)" as the file type, and save the file to your desktop.

  • Open Excel → File → Open → browse to the patient .txt file
  • Text Import Wizard: select "Delimited" → Next
  • Check "Comma" as delimiter, uncheck "Tab" → Next → Finish
  • File → Save As → choose CSV (Comma delimited) → Save

Note:

Denticon TXT files typically do NOT include a header row — the first row is data, not column labels. When you send the file to MedMasters, mention that there are no headers so the team can map columns by position.

Send to MedMasters

Upload the converted CSV file using the secure MedMasters upload link provided by your account manager. Let your account manager know that this is a Denticon export and that the file has no header row so they can correctly identify the column positions.

Note:

Do not email patient data. Always use the secure MedMasters upload portal. Note whether the file has headers or not in your message to MedMasters.

Known Quirks

⚠️

Denticon exports are scheduled overnight — you cannot download the file same-day

The download is a ZIP file containing multiple TXT files, not a single CSV

Patient images and attached documents are NOT included in the data download

Schedule your Denticon download at the end of the business day so it is ready first thing the next morning

The patient demographics file is usually one of the first files in the ZIP — check for column names like "PatLast", "PatFirst", "PatHomePhone", "PatEmail"

Multi-location DSO practices will have all locations' data in the same download — look for a "Location" or "Office" column to segment by location if needed

💡

Denticon is widely used by group dental practices (DSOs) — if your practice has 5+ locations, the export file may be very large
