Open athenanet.athenahealth.com in a desktop browser. Practice administrator role is required for full demographic exports.
Open Report Builder
Click Reports → Report Builder. Choose "Patient Demographics" as the base. Add columns: First Name, Last Name, Cell Phone, Email, Last Encounter, Patient Status, Primary Insurance, Visit Count.
Configure Filters
Set Status = All, Department = All (multi-location), Date = All Time. Save the report definition for future re-runs.
Note:
Athena reports run synchronously against the production cluster. Schedule for off-hours for large practices.
Run and Export
Click "Run Report". Once data populates, click Export → CSV or Excel.
Tip:
Excel format preserves dates better; CSV keeps row count larger files.
Send via Secure Upload Link
Upload the file using the secure link your MedMasters account manager provided. Do not email the CSV file directly — patient contact data must be transmitted securely.
Note:
Never send patient data as a plain email attachment. Patient data sent over unencrypted email violates HIPAA. Use only the secure upload link provided by MedMasters.

Report Builder has a learning curve — first export usually requires admin or athenahealth-rep guidance.
Multi-department: defaults to home department. Set Department = All explicitly.
Patient status codes are athenahealth-specific (a, i, d, prospect) — translate before sharing.
Have your athenahealth admin save a "Reactivation Export" template once — staff re-runs are then one click.
Pair with the Encounters report to get visit reasons alongside demographics.
