Log in via Desktop Browser

Open Chrome or Safari and navigate to app.aestheticrecord.com. Enter your provider or admin email and password, then click the purple "Sign In" button. You must use the desktop web version — the Aesthetic Record mobile app does not have a data export feature.

Tip:

If your practice uses SSO (single sign-on), click "Sign in with Google" or your SSO provider button instead of entering credentials directly.

Navigate to Clients → Import/Export

In the top navigation, click the "Clients" tab. On the Clients page, click the "+" icon (column selector) near the top of the list. A menu will appear — click "Import/Export". This opens the export panel with format options.

Set the Status Filter

Near the top of the patient list, find the "Status" dropdown filter. Click it and select "All" to capture both active and inactive patients in a single export. If you only want active patients, select "Active". The list will refresh automatically.

Tip:

Selecting "All" is recommended — MedMasters will segment active vs. inactive for you. A single file is easier to manage than two.

Click "Export as Excel" or "Export as CSV"

Look at the top-right corner of the patient table — you will see a button labeled "Export as Excel" or "Export as CSV" (it may also show a download arrow icon). Click it. A dialog box will appear asking which fields to include in the export.

Tip:

If no Export button is visible, make sure you clicked the "+" icon to open the Import/Export panel, not the individual patient chart. Scroll right if the button is hidden off-screen on smaller monitors.

Select Export Fields

In the field-selection dialog, make sure the following are checked: First Name, Last Name, Phone Number, Email, Date of Birth, Address, Gender. Click "Select All" if available to be safe — extra columns do not cause problems.

  • Click "Export" or "Download" to confirm

Note:

Note: The following data types cannot be exported: Clinic ID, Profile Photo, patient photos, clinical documentation, credit card details, and memberships.

Download and Verify the File

The CSV will download to your browser's default downloads folder (usually C:\Users\YourName\Downloads on Windows). Open the file in Excel to verify: confirm the first row has column headers, and check that the Mobile Phone and Email columns are populated for most patients.

Tip:

If the file opens in Notepad instead of Excel, right-click the file → Open with → Microsoft Excel.

Send via Secure Upload Link

Upload the file using the secure link your MedMasters account manager provided. Do not email the CSV file directly — patient contact data must be transmitted securely.

Note:

Never send patient data as a plain email attachment. Patient data sent over unencrypted email violates HIPAA. Use only the secure upload link provided by MedMasters.

⚠️

Mobile app does not support data exports — always use the desktop web version at app.aestheticrecord.com

⚠️

Some practice setups label it "Client Export" instead of "Patient Export" — both are the same thing

⚠️

If your account has multiple providers, the default view may only show your own patients — set Provider filter to "All Providers"

Pro Tips

💡

Large exports (10,000+ patients) may time out in the browser — if this happens, use a date range filter to split into two exports (e.g., patients seen before and after Jan 1 of a given year)

💡

The system saves your last export settings — repeat exports in the future will be faster

💡

If the "Export to CSV" button is grayed out, you may not have admin permissions — ask the practice owner to grant you export access in Settings → User Management

Google Calendar Integration

Sync type: one way out

Log In via Desktop Browser

Open your browser and navigate to app.aestheticrecord.com. Log in with your provider or admin credentials. This feature is only available on the desktop web version — the mobile app does not support calendar sync.

Open Settings

Click the Settings wheel icon in the top-right corner of the screen to open the Settings menu.

Navigate to Your Profile

In the left-hand Settings menu, click "Account Setup," then select "Your Profile."

Enable the Google Calendar Sync Toggle

On the right side of the Your Profile page, scroll down past the signature section. Find the toggle labeled "Sync With Google Calendar" and click it to turn it on.

Authenticate with Google

A Google sign-in prompt will appear. Select your Google account and grant Aesthetic Record permission to access your calendar.

Verify the Sync

Your upcoming appointments will now begin syncing to your connected Google Calendar. Allow a few minutes for the initial sync to complete.

One-way sync only: Aesthetic Record → Google Calendar. Appointments created in Google Calendar will not appear in Aesthetic Record.

Each provider must individually enable the sync and connect their own Google account.

You must have the "Work As Provider" role assigned to enable this feature.

If you disable the sync, previously synced events may remain in your Google Calendar.
